Step 2 · Your AI Workspace
Set it up once. Use it every day.
I set up a second brain that holds how you work, plus the skills, connections and rules that let any AI tool or agent use it. Together they make your own small AI operating system, so you stop starting from scratch.

- About 2 days
- In your company’s tools
What it holds
Two layers. Any AI tool plugs in.
The second brain is what you know. The operating layer is what AI can do with it. Every tool or agent you bring in uses the same skills, connections and rules.
- Layer 1 · The second brain
- Processes and knowledge: how your work gets done, and the context and memory you would otherwise paste in every time.
- Layer 2 · The operating layer
- Skills shared by every tool, safe connections to your tools and data, rules about which data goes where and which steps need a person, and signals: the few alerts that should get your attention.
- Plus
- A backup, so nothing lives only in one tool or one person’s head. Then any AI tool or agent plugs in: Copilot, ChatGPT, Claude, an assistant you build, and the next one too.
How it runs
About 2 days, start to finish.
Before we start, we agree the tools with you, and with IT if needed, so the set-up does not stall.
- 1 · Map
How you work
A short call to map your regular tasks, the knowledge you rely on and the tools and data you are allowed to use.
- 2 · Set up
Your workspace
I build the second brain and the operating layer: your processes and context, plus skills, connections and rules. Then I test it on real tasks.
- 3 · Hand over
And check in
A handover session so you can run and change it yourself, then a check-in 2 weeks later.
The idea behind it
More than a second brain, at the scale of you and your team.
Large firms are building the same idea for the whole enterprise. McKinsey calls it an AI operating system. Read McKinsey’s article.
My version has two layers: a second brain that holds your context, and an operating layer of skills, connections and rules that lets any AI tool or agent use it. I build it for leaders in mid-size firms: one leader first, then their team, starting in an hour. Four rules carry over:
- Own your context, rent the tools. Your knowledge stays yours, whichever AI you use
- Start with one real problem, and build as you go. No big data project first
- Reuse everything, so each new use is faster than the last
- AI prepares, people decide. Agree which steps need a person

Inside your company’s rules
Built in the tools you already have.
Your workspace sits in what your company already allows, usually Microsoft 365, with SharePoint or OneNote and Copilot. Some firms also have ChatGPT or Claude business licences, and it works with those too.
It is not tied to one AI supplier. If your company changes tools, the workspace moves with you. And if your company later builds a company-wide AI system, your workspace feeds into it rather than competing with it.
An example: mine
I run my own work on one.
My plans, projects and processes live in one notes vault. Claude works from it when I build, write and think. A set of background assistants run searches and checks on a schedule and report back to me. The skills, tool keys and rules they use are set up once and shared. My code and websites are backed up and published through GitHub.
Two rules keep it safe. Assistants ask me before changing my plan, and nothing goes to other people without my OK.
What you get
A workspace you can run yourself.
“A genuine passion for learning, embracing new technologies and putting them into practice.” Former line manager, Yodel. LinkedIn recommendation, October 2026.
